PUBLISHER'S INSTRUCTIONS FOR AUTHORS

FOR PREPARING AND SUBMITTING HICSS-31 PAPERS



INTRODUCTION

Congratulations on having your paper accepted for publication in the Proceedings of the 31st Hawaii International Conference on System Sciences. The Proceedings will be published in both paper and electronic form to give wide exposure and visibility to your work. This increased variety of publication outlets will require some extra effort from you in submitting your paper, but we think you will find it very worthwhile.

You will need to make the following submissions no later than October 1, 1997. The instructions for preparing each are shown below. Guidelines and format sheets can be downloaded by selecting from the attachment list at the end of this document.

1. Prepare a Postscript or a PDF file of the entire paper, formatted according to the instructions below, and send it by FTP to the Computer Society Press. This electronic form of your paper will be published on a CD/ROM to be distributed at the conference and printed for reproduction in the paper proceedings. Note that you will not send a camera ready version of your paper. Therefore, before sending the postscript or PDF file by FTP, print it to be sure it is correct. Guidelines for generating and submitting PostScript files are available on the publisher's web site.

If, for some reason, you cannot place an electronic copy of your paper on the FTP site, you may submit it as camera-ready hard copy. You must then attach a check for US $50.00 payable to HICSS, to cover the cost of scanning and handling. Please print your camera-ready manuscript on plain white paper (A4 is acceptable). Your manuscript must be camera-ready. If the print is grey or broken, it will appear that way in the completed book. Manuscripts will be photographed and printed just as they are. Mail your paper with your copyright form and check, and enclose a note that you could not place it on the FTP site. We recommend using a courier service to insure your paper arrives on time. If sending a hard copy, your paper must be received in our California office by Oct.1, 1997. Mail to Penny Storms at the address shown below.

 
2. Send an ASCII file containing only the title, author(s), and the abstract of your paper, by email to the Computer Society Press. This file will be printed in an abstract book that will be distributed to all HICSS participants. If you post an electronic copy of your paper on a Web site, please follow the instructions in the section entitled Electronic Web or Internet Copies of Your Paper.
 
3. Send a signed copyright form by mail (see below) or fax at 714-761-1784. Your paper will not be published without this form.

INSTRUCTIONS FOR PREPARING AND SENDING YOUR POSTSCRIPT FILE OR PDF FILE

Prepare your paper for 8.5 x 11 inch paper according to the detailed formatting instructions supplied by the publisher. These formattting instructions, entitled Proceedings Guidelines for 8 1/2 x 11 Inch Manuscripts, are available in a postscript file, or in a rich text format file. These instructions are formatted as your paper should be formatted. A format sheet showing the layout margins for the manuscript is also available in postscript or rich text format. An unformatted version of these instructions is also available. If you cannot access these files, request an email version of these guidelines from hicss@hawaii.edu

You are allowed a total of 10 pages for your paper. This includes all figures, tables, and references. any additional pages will be omitted unless we have specific permission from the conference office.

If you create your paper with off-the-shelf Windows or Macintosh software (Word for Windows, WordPerfect, Quark Xpress, PageMaker, FrameMaker, and so on), it's very likely that you can easily create a Postscript file. Check your software's documentation for the specifics.

If at all possible, put your graphics within the same file as your text, in the appropriate location, so that a single PostScript file contains all the components of your paper, properly laid out. If you cannot successfully merge the text and graphics, then print them as separate Postscript files, but be aware that the text and graphics will end up on separate, distinct Acrobat pages. The reader will have to flip between text and graphics. Note that you may use color for the electronic version on the CD/Rom but the Proceedings will be printed in black and white.

Please use Times (or Times Roman, New Times Roman). If you use a special MATH FONT, please include that font in your postscript file plus the name of any font used in mathematical text/equations! Use TrueType 1 fonts wherever possible. Do NOT use bitmapped fonts such as Computer Modern if you can avoid it.

 

Do NOT condense your postscript file (use plain ascii postscript only). When transferring files to the FTP site, if you have a choice between ascii and binary modes, use binary. Although ascii works well most of the time, binary mode incurs fewer problems. Note this is for *mode* of transmission. *Save* your files as ascii PostScript. Guidelines for generating and submitting PostScript files are available on our Internet site at http://computer.org/author/psguide.htm

Naming Your Files

Please name your file <filename>.ps or < filename>.pdf, where <filename> is the first 8 letters of the first author's last name.

If you find there is a file with the same name already in the directory, please save your file with your name and a number, for example: lee.ps, lee1.ps, lee2.ps etc.

Your files will be manipulated on an MS-Windows platform, so if you send any other files, please use filenames which follow the DOS naming convention (xxxxxxxx.yyy).

Sending Your Files

We prefer to receive your files by anonymous FTP to ftp.computer.org in the directory pub/incoming/cspress/hicss98. You may use FTP through your web browser, or if you're using a command-line driven FTP client, type: open ftp.computer.org (log on as anonymous and use your email address as the password)

cd pub/incoming/cspress/hicss98

put <filename>.ps

Notification of File Submission

When you have put your file(s) in the FTP subdirectory, send an email message to p.storms@computer.org with the following information: Your name, phone, fax, URL (your Web address, if you have one), your email address, the conference name, the title of your paper, and the <filename(s)> you used. Do NOT send a copy of your postscript file via email.

Note that the publisher will not acknowledge receipt of individual papers/files due to the volume involved. If there are any problems with your files, they will contact you, otherwise you may assume everything is in order.

 

INSTRUCTIONS FOR PREPARING AND SENDING THE ASCII ABSTRACT FILE

Prepare an ASCII file consisting of the following.

Paper Title

Author 1 - Affiliation/physical address/email address

Author 2 - Affiliation/physical address/email address

Abstract paragraph - Approximately 150 words. Should be the same as abstract included in the manuscript.
