Author Instructions for Sony's FTP Services
INSTRUCTIONS FOR AUTHORS
FOR SUBMITTING PAPERS AND ABSTRACTS FOR HICSS-32
INSTRUCTIONS

1. What you need to FTP your paper and abstract.

a) You'll need a computer with Internet access and an Internet browser.
Netscape is available free at www.netscape.com. Internet Explorer is available
free at www.microsoft.com.

b) FTP software; there are many FTP software programs available for the
PC and MAC free at www.shareware.com. Just search on "FTP".

2. Uploading your file is a two step process. First, you launch your Internet
browser and go to the Sony FTP Services site. Once there, you create a
secure directory for your submission and receive a User ID. Second, you
launch your FTP software and upload your file(s) to your secure directory.
This site will confirm receipt of your submission by email.
Step by Step instructions -

1. Create the secure directory on the Sony FTP Services -

a) Launch your Internet Browser
-
b) In the Address/Location field, type http://submit.seps.com
-
c) First, enter the HICSS project number: 350135
-
d) Click on the Submit button.

e) The screen will refresh and you enter:
-
Your First Name
-
Your Last Name (your last name is used to create a unique User ID; therefore,
the only legitimate characters the system will accept are A-Z, 0-9, (,
), and _)

Telephone Number
-
Your Email Address
-
A password of your choice
-
f) Click on the Submit button.
-
g) If there are no problems with what you entered in the fields above,
the system will confirm that you have successfully created a secure FTP
directory.

h) Print this screen (Secure Directory Created) for reference; you will
also receive an email containing the same information.

2. Upload your paper and abstract to the Sony FTP Services site-

a) Launch your FTP software application.
-
b) In the Address field (this is sometimes called Location or Site), type
"submit.seps.com" or "ftp://submit.seps.com"
-
c) In the User ID field type the User ID assigned to you; it was displayed
on the "Secure Directory Created" screen and again in the confirming email.

d) In the Password field type the Password you chose when you created your
secure FTP directory.

e) Connect to the site.
-
f) You will see a list of directories. Open the directory for HICSS named:
350135.

g) You should see a directory with the same name as your User ID. Open
that directory.

h) Upload two files into that directory. The full paper should have the
filename code given to you in your acceptance letter. The abstract should
have the same filename with an added "A" to indicate abstract. Both should
have the extension .ps or .pdf. To see your files, you may have to refresh
the window displaying the contents of your directory.. When FTP Services
detects your file (after you have uploaded it) it will move the file to
inside a firewall. So, you may not see your file if you refresh the directory
view a few minutes later. Do not resubmit your file; it has already been
accepted.

3. You will receive an email message at the address you gave when you created
your directory. It will confirm that your submission was received.

Q. How will you know if your paper was received?

A: You will receive a confirmation email immediately after your paper is
detected.

Q. I uploaded my paper to the Sony FTP Services site but when I went back
later to see if it was there, it was gone. What happened to it?
-
A: Once your submission is detected on our site, we move it to a location
where our Production Team can access it.

Q. I've uploaded two different versions of my paper. How do you know which
one to use?
-
A: Each version of your submission is automatically numbered so that we
know which one is the most current.

Q. If I have questions about my paper, whom can I call or email?

Q. What if I need to send a new version?
A: Use the same FTP location, User ID, and Password you used before
and upload another version of your paper. (and abstract if necessary)
